How Edtechified collects, uses and protects information on this website and in the platform.

Last updated: 21 September 2026

Who we are

Edtechified ("we", "us") provides a school management system that schools use to run administration, academics, fees, HR and communication with families. This policy explains what information we handle, why, and the choices you have. If you have a question about it, email info@edtechified.com.

This policy covers two things: this website (edtechified.com), and the Edtechified platform and apps that schools use.

Schools are in control of school data

When a school uses Edtechified, the school decides what information about its students, parents, guardians and staff is stored, and who can see it. The school is responsible for that information, and we process it on the school's behalf and on its instructions.

If you are a parent, student or member of staff and have a question about the information your school holds, please contact your school first. We will help the school answer your request.

Information on this website

Contact form: when you send the form on this website, the details you enter — your name, work email, school, role, the number of students and anything you write in the message — are passed to FormSubmit, a third-party form-delivery service, which emails them to us at info@edtechified.com. We do not store them on our own servers, and we use them only to reply to you.

Booking a demo: the "Book a demo" buttons on this website open a booking calendar provided by Cal.com. When you book, Cal.com receives your name, email address, chosen time and the answers you give in its booking form, and places the meeting on our calendar. Cal.com sends the confirmation and any reminders. If you would rather not use it, use the contact form or email us instead.

Analytics: we use Google Analytics and Google Tag Manager to understand how visitors use the website, for example which pages are visited and how people arrive. We also use Microsoft Clarity, which records how pages are used — mouse movement, clicks, scrolling and which pages you visit — and turns that into heatmaps and session replays, so we can see where the website is confusing. Clarity does not record what you type: form fields, including everything on our contact form, are hidden before the recording leaves your browser. Microsoft may combine this information with its own data, as described in the Microsoft Privacy Statement. These tools use cookies and collect information such as your device, browser, approximate location and pages viewed. You can block these cookies in your browser settings or with Google's Analytics opt-out browser add-on.

Preferences: if you choose a colour theme, light or dark mode, or typeface, that choice is saved only in your own browser so the site remembers it. It is not sent to us.

Hosting: the website is hosted by Vercel, which keeps standard technical logs, such as IP addresses and the time of a request, to deliver the site securely.

Information in the platform

Records a school adds, such as student and family details, admissions applications, attendance, timetables, homework, exam results, report cards, fees and payments, staff and payroll records, leave requests, announcements and messages.

Account details for people who sign in, such as name, email address and phone number. When someone signs in with Google or Apple, we keep the confirmed identity and email address. We do not receive their Google or Apple password, and we do not keep access tokens to their Google or Apple account. With their permission, a phone number from their Google profile may be used to fill in contact details.

Parent sign-up details: to prove who they are, parents scan their child's school ID card and confirm the CNIC or mobile number the school already holds for them. These are checked against the school's records and are not used for anything else.

Support tickets: when someone reports a problem, we keep the ticket, the messages about it and the screen or campus it relates to, so we can fix it.

Usage and security records: sign-in activity, the devices a person is signed in on, and a record of important changes (such as to students, staff, roles and fees) and who made them.

How we use information

To provide the platform to schools and families, including the notifications a school chooses to send.

To keep accounts and school data secure, prevent misuse and investigate problems.

To provide support, answer enquiries and respond to demo requests.

To understand how the website and platform are used so we can improve them.

We do not sell personal information, and we do not use school data for advertising.

AI features

AI features answer questions using the school's own records, and only the records the person asking is already allowed to see. AI does not change marks, fees or records. Any change is made by a member of staff.

If a school chooses to connect an AI assistant such as Claude, ChatGPT or Gemini, the relevant records needed to answer a question are shared with that assistant under the school's account with that provider. Connecting an assistant is optional and is controlled by the school.

Who we share information with

We share information only with service providers that help us run Edtechified, and only as needed to provide the service. This includes hosting and infrastructure, and delivery of notifications by SMS, email, WhatsApp and push. These providers may only use the information to provide their service to us.

We may also share information if the law requires it, or to protect the safety of students, families, staff or the platform.

Information a school sends to its families, such as announcements, results and fee notices, is shared by the school through Edtechified.

How we protect information

Information travelling between the apps and Edtechified is encrypted.

Access follows each person's role: parents see only their own children, teachers see the classes they teach, and staff see the campus they belong to.

Passwords are stored in a scrambled form that cannot be turned back into the password, not even by us or by the school's administrators.

Administrators can protect their accounts with a second check, such as a face or fingerprint, and can see and sign out every device they are signed in on.

Backups are taken on a schedule agreed with each school.

No system is perfectly secure. If you believe you have found a security problem, please tell us at info@edtechified.com.

How long we keep information

School data is kept for as long as the school uses Edtechified, and after that is returned or deleted in line with the school's agreement with us.

Where the data is stored, and how long backups are kept, are confirmed with each school in writing before it starts.

Emails and demo requests sent to us are kept for as long as needed to respond and to keep a record of our conversation.

Children's information

Edtechified holds information about students because their school adds it to run the school. We use it only to provide the service to that school and its families.

Students' access is limited to their own information, and parents see only their own children.

Your choices and rights

You can ask to see, correct or delete personal information about you. For information held by your school, contact your school, and we will help it respond. For anything else, email us.

You can control analytics cookies through your browser settings, which also stops the session recording described above, and choose which notifications you receive, and on which channels, in your notification settings.

Changes to this policy

We may update this policy as the website and platform change. When we do, we will post the new version on this page and update the date at the top. If a change significantly affects how school data is handled, we will tell schools directly.
